Event Campaign Automation

All the basics for Event Registration and Attendance!

A ready-to-clone CRM foundation for running an event registration and attendance campaign, built on the Engagement Type / Campaign Engagement property stack.

What's included:
- Campaign Engagement and Engagement Type Contact properties, plus the full Most Recent UTM set (Campaign, Content, Medium, Source, Term).
- A Registration Form with hidden Campaign Engagement and Engagement Type fields, pre-set to 'Event Registration'.
- Three static Lists: Registrants, Attendees, and No-Shows.
- A Registration Workflow — enrolls a Contact when they submit the Registration Form and adds them to the Registrants List.
- An Attendance Workflow — branches on Engagement Type: 'Event Attendance' routes into the Attendees List, everyone else falls through to No-Shows.

Deploying: you'll be prompted for eventDate and eventName at deploy time — that one pair of values fills in the Registration Form's name and Campaign Engagement default, the Workflows' names, and the Attendance Workflow's Campaign Engagement match filter consistently, so there's nothing to rename by hand afterward.

After your event: clone the Attendee Import Template — fill in your campaign name, campaign type ('Event'), and engagement type ('Event Attendance') on its Control tab, and every email address you add to the List tab picks up those values automatically. Import that List tab into HubSpot as 'Create and Update Contacts', flagged as Marketing Contacts — this attributes the attendance and, via the Attendance Workflow, sorts each Contact into Attendees or No-Shows.

Not included: invite/auto-responder emails and the registration landing page — build those in HubSpot Marketing directly.

Contacts who submitted the event Registration Form. Populated automatically by the Registration Workflow on form submission — this is your registrant list for invite and reminder sends before the event.

YYYY-MM-DD_Event_EventName-Attendees

Contacts confirmed as having attended the event. Populated by the Attendance Workflow when Engagement Type is set to Event Attendance on import of your post-event attendee list.

YYYY-MM-DD_Event_EventName-NoShows

Registrants who did not attend the event. Populated by the Attendance Workflow's default branch — any registrant not marked as an attendee lands here after your attendee list import, useful for a distinct no-show follow-up send.

YYYY-MM-DD_Event_EventName-Attendance

Runs after your event to sort registrants into Attendees or No-Shows. Enrollment matches contacts whose Campaign Engagement equals this event's name and whose Engagement Type is Event Attendance, or anyone already on the Registrants list; a branch then checks Engagement Type to route each contact into the Attendees or No-Shows static list. Update the Campaign Engagement filter to match your event before activating.

YYYY-MM-DD_Event_EventName-Registration

Enrolls a contact when they submit the event Registration Form and adds them to the Registrants static list. The sole trigger for this workflow is form completion — rename and point at your event's cloned Registration Form before activating.

Event registration form capturing name, email, and company. Hidden fields stamp `Campaign Engagement` (the event's name) and `Engagement Type` (defaults to 'Event Registration'), plus the standard UTM, referrer, and ad-click ID attribution set. Legitimate-interest consent (no checkbox); marks new contacts as marketing contacts. Clone and rename per event before publishing. Deploy-time tokens: `{{my.eventDate}}`, `{{my.eventName}}`, `{{my.CompanyName}}`, `{{my.PrivacyPolicy}}`, `{{my.SubscriptionTypeId}}`, `{{my.NotifyUserIDs}}`, `{{my.ThankYouMessage}}`, `{{my.BlockedEmailDomains}}`.
