Webinar Campaign Automation

All the basics for Webinar Registration and Attendance!

Contains everything you need to launch a basic webinar program; add an auto-responder email to the registration Workflow and you're good to go.

What's included:
- Campaign Engagement and Engagement Type Contact properties, plus the full Most Recent UTM set — shared with every other campaign bundle in this library.
- A Registration Form with hidden Campaign Engagement and Engagement Type fields, pre-set to 'Webinar Registration'. Campaign Engagement is a variable you set whenever you deploy the bundle/
- Three static Lists: Registrants, Attendees, and No-Shows.
- A Registration Workflow — enrolls a Contact on Form submission, adds them to the Registrants List.
- An Attendance Workflow — branches on Engagement Type: 'Webinar Attendance' routes into Attendees, everyone else falls through to No-Shows.

Deploying: you'll be prompted for webinarDate and webinarName at deploy time, filling in the Form, Workflows, and the Attendance Workflow's Campaign Engagement filter consistently, and renaming all of them accordingly.

After your webinar: clone the Attendee Import Template — fill in your campaign name, campaign type ('Webinar'), and engagement type ('Webinar Attendance') on its Control tab, and every email address you add to the List tab (from your Zoom or webinar platform export) picks up those values automatically. Import that List tab into HubSpot as 'Create and Update Contacts', flagged as Marketing Contacts.

Note: this bundle doesn't include a native Zoom Webinar ID trigger — attendance is driven by importing your attendee export and setting Engagement Type, the same manual step as Event Campaign, not an automatic Zoom↔HubSpot sync.

Not included: invite/auto-responder emails and the registration landing page.

GA Client ID

Anonymous identifier assigned by GA4 to each browser session. Capturing it on form submission enables offline conversion tracking via the GA4 Measurement Protocol — you can fire lifecycle stage changes or pipeline events back to GA4 as conversion signals, which Google Ads surfaces as imported conversions. Note: a single person can have multiple GA Client IDs across browsers and devices.

LinkedIn Click ID

The LinkedIn ad click ID (li_fat_id) passed via URL parameter when a contact clicks a LinkedIn ad. Used for conversion tracking back to LinkedIn Campaign Manager.

YYYY-MM-DD_Webinar_WebinarName-Registrants

Contacts who submitted the webinar Registration Form. Populated automatically by the Registration Workflow on form submission — this is your registrant list for invite and reminder sends before the webinar.

YYYY-MM-DD_Webinar_WebinarName-Attendees

Contacts confirmed as having attended the webinar. Populated by the Attendance Workflow when Engagement Type is set to Webinar Attendance on import of your post-webinar attendee export.

YYYY-MM-DD_Webinar_WebinarName-NoShows

Registrants who did not attend the webinar. Populated by the Attendance Workflow's default branch — any registrant not marked as an attendee lands here after your attendee export import, useful for a distinct no-show follow-up send.

YYYY-MM-DD_Webinar_WebinarName-Attendance

Runs after your webinar to sort registrants into Attendees or No-Shows. Enrollment matches contacts whose Campaign Engagement equals this webinar's name and whose Engagement Type is Webinar Attendance, or anyone already on the Registrants list; a branch then checks Engagement Type to route each contact into the Attendees or No-Shows static list. Update the Campaign Engagement filter to match your webinar before activating. Attendance is driven by your attendee export import, not a native Zoom trigger.

YYYY-MM-DD_Webinar_WebinarName-Registration

Enrolls a contact when they submit the webinar Registration Form and adds them to the Registrants static list. The sole trigger for this workflow is form completion — rename and point at your webinar's cloned Registration Form before activating.

Webinar registration form capturing name, email, and company. Hidden fields stamp `Campaign Engagement` (the webinar's name) and `Engagement Type` (defaults to 'Webinar Registration'), plus the standard UTM, referrer, and ad-click ID attribution set. Legitimate-interest consent (no checkbox); marks new contacts as marketing contacts. Clone and rename per webinar before publishing. Deploy-time tokens: `{{my.webinarDate}}`, `{{my.webinarName}}`, `{{my.CompanyName}}`, `{{my.PrivacyPolicy}}`, `{{my.SubscriptionTypeId}}`, `{{my.NotifyUserIDs}}`, `{{my.ThankYouMessage}}`, `{{my.BlockedEmailDomains}}`.
